One of the preliminary health check tools we use is the iManage Database Checker. As iManage continues to develop this tool and add health check, data consistency and referential integrity checks, this tool will report critical errors, warnings and successful results. This tool will be a part of every health check, however the goal of this tool is to prepare an environment for a cloud migration. Not every reported issue is necessarily impactful, even for those planning for a cloud migration. Once the tool s installed and run, we will assist your staff to remediate any critical issues and guide you through al other reported issues to ensure you are fully aware of any impact a resolution may have on your envoronment.
Along with iManage's imDBCheck tool, Mattricity has developed a series of health check queries and reports called Pulse. Our reports go beyond the imDBCheck's report as it reports metrics, growth patterns, aggregates, highlighting aspects of your DMS that works better than others. We also provide solutions for the reduction of legacy items, collapsing similar objects as a result of our reports. Our reports are used in legacy DMS systems, new implementations of iManage, upgrades, mergers, splits, and of course, cloud migrations.
Ltera's Prosperoware also provides a Health Check Report. This report focuses heavily on the health of the database, as well as security and group, document and container and email checks. The key to the tool is understanding the results, what requires immediate attention and what is informational.
Many firms store their data in structured file shares, either as a network share or often utilizing OneDrive, SharePoint, or any other file share system. Often the files are structured in such a way that security can be granted to an entire file share, or users save their documents to their own personal folders. If you are converting from another document mangement system or other structured environment, there is more to a migration than just moving data. There is a data mapping process that requires an understanding of how your firm currently organizes and categorizes its content, who has access to what and a vision of how that structure may change. We have extensive experience with other data structures and can migrate and advise your team to finalize its design.
Your firm is new to a document management system or there was no formal organization in your current file sharing system. The concept of categorizing your firm's content into "workspaces" is very foreign to you and no immediate buckets come to mind. Our Business Analysts can begin the conversation of a typical day in the life of a firm employee, an administrator and a fee earner, and gather information never considered pertinent. You are well on your way!
New installations are migrations to the iManage Cloud from environments that either never had a document management system or or importing from file or network shares. New installations can also be those starting from scratch, where all new files will be saved to the new Cloud environment. In all instances, a transitional staging environment is set up and configured. Data mapping is performed on the staging server, then when confirmed, synched to the iManange Cloud instance.
Legacy migrations are those environments where an existing document management or similar systems where the documents and their related properties (author, classfication, date created and last modified, customer or client, etc.) exist in a structured database or proprietary system. In these environments, we will export both the document and its properties, then imported into a transitional staging iManage environment. Data mapping is performed on the on premised staging server. Once the staging environment is confirmed, it is then synched to the iManage Cloud.
Often larger environments may contain more than a single source system, which can also be in multiple regions and may even be from disparate systems. In these cases, if the data will be migrated to a single Cloud region, the multiple sources are first consolidated into an on premises transitional staging iManage database. Data mapping, including document renumbering, is performed in the staging environment. Once the consolidated environment is confirmed on premises, it is then synched to a regional Cloud instance. It is also possible to target consolidations to multiple regions and Cloud data centers.
Although not as common, some firms may have gone through a consolidation, but now would like to break out their environment into target regional Cloud data centers. Here, we again will import into multiple on premises staging databases. Data mapping, including document renumber or negative offsetting occurs in the staging environment. Once the on premises databases are confirmed, they are individually synched to their respective iManage Cloud regional data centers.
Similar to new Cloud installs, new on premiises installations are migrations to the iManage from environments that either never had a document management system or or importing from file or network shares. New installations can also be those starting from scratch, where all new files will be saved to the new iManage environment. The new iManage environment is fully built out on premises and all system components are fully tested and operational prior to migrations.
Customers who have implemented iManage years ago often would like to migrate their existing environment to a new virtual environment as well as rethink their current design. Upgrading offers a set of new features and a new user interface. Training is often required to bridge the gap for users, particularly if a migration of other desktop and email applications are also planned. And did you hear? Classic clients will reach end of life in 2023, so hurry and upgrade!
Very often, firms would create separate databases per region or office, or to ensure security. With the popularity of Security Policy Manager and other ethical wall applications, as well as the increase in internet speeds, many firms decide that if they haven't done it by now, it is time to consolidate while they migrate or upgrade. Consolidation reduces overhead and ensures a common user experience.
Although not as common, some firms may have gone through a consolidation, but now would like to break out their environment into target environments. Often this is done on premises to separate archival data from active work product or if Records Management is also being introduced. In those cases, data can be migrated into separate databases. Data mapping may also include declaring archival data as records to ensure their fidelity.

This training can include daily tasks, customized workflows, scrpts and tasks, as well as introduction to the new administrative user interface. We provide escalated support, and can open tickets on your behalf directly with vendors. We also ensure integration with source data, such as Accounting and Time & Billing Systems, as well as Records Management and other backend integrated systems.
We arrange ens user training, both remote and onsite. Training is often required for all system migrations and upgrades if the firm is on an earlier version of the client software. The trainer will collaborate with your firm to determine the best agenda and audience, as well as schedule. Our technical consultants also collaborate with the Trainer to review all settings, configurations and workflows to ensure proper messaging to your users are conveyed accurately.
Our team will conduct a full systems analysis and Health Check of your current system, report findings and identify any concerns early in the process to ensure a smooth migration.
We then begin the Design and Build process, which may include mapping old and new data elements and providing mockups of the new system prior to migrating any data.
After receiving design and build approval, we begin the initial "baseline" migration, a full data load of all metadata, objects and data. A final migration occurs prior to Go Live.
User Acceptance Testing is performed and and changes are made as needed. We provide continued monitoring and support post Go Live, ensuring proper knowledge transfer is complete.
